Admin
We are looking for a highly organised and proactive Admin to join our busy care office for a 6-month fixed-term role. This position is key to keeping our operations running smoothly, supporting our care teams, and ensuring we meet high standards for service and compliance.
Key Responsibilities
Scheduling & Coordination
Send weekly and daily rotas to clients promptly and professionally
Update and re-send schedules when changes occur
Highlight any coverage gaps or urgent issues to the relevant coordinators
Recruitment Support
Screen applications and arrange interviews
Follow up with candidates to collect documentation and support onboarding
Maintain recruitment trackers and applicant files (both digital and physical)
Compliance Monitoring
Chase staff to book supervisions and live monitoring sessions
Track DBS expiry dates, training deadlines, and other compliance requirements
Report recurring issues to the office team
Follow up on missing documents or mandatory training
Training Administration
Book internal and external training sessions
Prepare materials such as booklets, agendas, and sign-in sheets
Update training records to meet Caremark and CQC requirements
Communication & Enquiries
Answer calls professionally and take accurate messages
Monitor shared inboxes for referrals and new care package enquiries
Escalate urgent matters quickly to the right team member
General Office Support
File, scan, and maintain accurate digital records
Keep the office calendar up to date with reviews, training, and supervisions
Provide administrative support to the care and coordination teams as needed
About You
Previous admin experience in a busy office environment (care sector experience is an advantage)
Excellent organisational skills and attention to detail
Confident with Microsoft Office and comfortable managing digital records
Professional telephone manner and strong written communication skills
Ability to prioritise tasks and work under pressure
