Administrative Assistant

Location: Watford

Job Purpose

To provide efficient administrative support to the Caremark Watford office, with a particular focus on HR processes and compliance. This role ensures that all documentation, records, and procedures meet both company and regulatory standards.

Compliance & Quality Assurance

  • Ensure all staff files and company records meet Care Quality Commission (CQC) requirements.
  • Monitor compliance audits and report any gaps to management.
  • Maintain confidentiality and data protection standards at all times.
  • Support the Registered Manager in preparing for inspections and audits.

General Administration

  • Manage office communications and correspondence.
  • Update and maintain internal databases, spreadsheets, and filing systems.
  • Provide general administrative support to the management team.
  • Handle enquiries from staff, clients, and external agencies professionally and efficiently.

Requirements

Essential:

  • Previous experience in an administrative role (ideally within HR, recruitment, or compliance).
  • Strong organisational and time management skills.
  • Excellent communication and interpersonal abilities.
  • Good IT skills (Microsoft Office, email, database systems).
  • High attention to detail and accuracy.

Desirable:

  • Experience within the care sector or familiarity with CQC regulations.
  • Knowledge of HR procedures and employment documentation.

Field Care Supervisor

Location: Watford and Hertsmere
Salary: £25400
Hours: 40

Summary of role

Responsible for implementing field based quality control systems and providing support to all Care & Support Workers within a defined area.

Principal responsibilities

  • To carry out Individual Needs Assessments for new and potential clients.
  • To conduct risk assessments as part of the Individual Needs Assessment and update these as required as part of the individual’s risk management.
  • To carry out introductory visits every time a Care & Support Worker visits a client for the first time.
  • To ensure all client visits are always covered.
  • To be on-call in case of emergency.
  • To liaise closely with Care Coordinators regarding recruitment, permanent allocation of Care & Support Workers and the writing of Care & Support Agreements.
  • To identify suitable Care & Support Workers to cover for any absences, this may be due to sickness or holiday.
  • To allocate suitable alternative Care & Support Workers when an existing Care & Support Worker notifies that they are unable to attend a call.
  • To facilitate the practical induction of all new Care & Support Workers.
  • To provide and facilitate in-field training as and when appropriate.
  • To identify any additional training needs of Care & Support Workers and report accordingly.
  • To conduct client reviews and respond to Individual Review Forms completed by Care & Support Workers as soon as possible.
  • To urgently report any changes in a Care & Support Worker’s or client’s schedule to the Care Coordinator.
  • To monitor, supervise and mentor all Care & Support Workers in the field.
  • To provide support to all Care & Support Workers in the field.
  • To monitor all clients for service and Care & Support Worker satisfaction.
  • To ensure accuracy and completeness of all documentation held in clients’ homes.
  • To encourage and identify opportunities for Care & Support Workers continuing professional development.
  • To ensure that all written reports and administration is up to date.
  • To maintain close liaison with both the Care Manager and Care Coordinator.

Field Care Supervisors should spend approximately 95% of their working week in the field with the remaining 5% being spent in the office in order to complete the necessary administrative duties.

Requirements

A valid/full driving license.

Good level of spoken and written English.

Principal responsibilities

  • To assist clients who need help getting up and going to bed in the morning and evenings, including dressing and undressing, washing, bathing and going to the toilet.
  • To help clients with their mobility and with any physical disabilities, including incontinence and use of personal aids and equipment.
  • To care for clients who are temporarily sick and need bed nursing and help with feeding etc.
  • To provide care and support for clients who are terminally ill.
  • To help in the promotion of mental and physical activities of clients through talking, outings, reading, writing, hobbies and recreations.
  • To make and change beds, light cleaning, emptying commodes and general tidying.
  • To inspect, launder and mend clients’ clothes.
  • To set tables and trays, prepare and serve light meals, clearing away and washing up.
  • To read and write reports and be involved in clients’ reviews and training activities.
  • To adhere to all Caremark’s policies and procedures at all times.
  • To report either to the Field Care Supervisor or Care Manager any significant changes in the health or circumstances of a client.
  • To encourage the independence of clients wherever possible.
